BOARD MEETING MINUTES

Monday, January 6, 2020

This was a closed Mic meeting with audience input on agenda items allowed with time limits.

The meeting was called to order at 9:00 A.M. by President Arnie DeJoode.

Secretary Report:A synopsis of the Minutes of the Board Meeting of the   December 2, 2019, minutes was read. The minutes were accepted as read.

Treasurer’s Report: Was given by Treasurer Bob Stamm.

Old Business

  1. Election: The following candidates were set at December Homeowners Meeting and are posted on the Wertz Hall information board.

“Meet the Candidates” meeting will be on Friday, January 10, 2020, from 1:00 p.m. to 2:30 p.m.

            Election will be on Monday, January 13, 2020, from 9:00 a.m. – 2:00 p.m.

  1. Ice Machine: The upper unit on the ice machine was replaced for $4492. The old upper unit was traded for free installation and one year free maintenance / sanitation for the year 2020.
  2. Golf Green Flags & Cups: The new heavier flag sticks and cups have been installed and are very nice.
  3. Bank Change: We will be using Navy Army Credit Union (NACU) and the Lone Star National Bank (LSNB). A money market account and two CDs will be opened at NACU in the next week or two. Veronica has a lot of IBC check blanks from the general fund so that will be switched over within the next three months.
  4. Harvey – Azalea Park: After much discussion a motion was made, seconded, and passed to get some type of structure or canopy at the Harvey- Azalea Park. A committee of Greg Weekley, Pat Mulvaney, Ray Parrott, and  some other recruits are to come up with a complete concept for the next board meeting.
  1. Cypress Trees: Mike Manning has taken soil samples from both bad (trees dying) and good (trees okay) and are having them analyzed.
  1. Audit: The audit committee is finished with the January through November 2019 audit. The audit of December 2019 should be finished by the end of this week and the audit report will be completed and submitted to the Board of Directors before the Annual Homeowners Meeting on January 20, 2020

New Business

  1. Flood Control Project:The project to enlarge the drainage canal from Bentsen Road to ½ mile west of Glascock Road has an estimated start in January 2020 and an estimated end in June 2020.
  2. AW Recipe Book: Ima Cheney and Carol Schindel requested $2500 funds for a new Adobe Wells  recipe/cookbook. A motion was made, seconded, and approved to give these ladies permission to redo the Adobe Wells         recipe/cookbook. This $2500 will be added to the list of pre-approval of expenses from the activity fund to be presented to the January Homeowners Meeting. The money from sales of this new cookbook will be returned to the activity fund.
  3. Resident Vehicle Sales: After much discussion, a motion was made, seconded, and passed to not allow any vehicles or items for sale to be parked on Adobe Wells common areas.
  4. Check Signers:

The Adobe Wells Board of Directors approves the following people as authorized signers for all Adobe Wells banking accounts, including checking, saving, money market accounts and certificates of deposit.

This list is effective immediately for accounts at Lone Star National Bank and Navy Army Community Credit Union.

The list is effective 1 February, 2020, for all accounts at IBC.

A motion was made, seconded, and passed to approve these people as check signers. 

  1. 2020 Budget: The proposed 2020 operating budget and list of pre-approved Activity Fund Expenses were reviewed. A motion was made, seconded, and passed to take the proposed budget, etc to the Homeowners for approval.

A budget review will be on Thursday, January 9, 2020, at 2:00 p.m.

General Discussion

  1. 1. There has been a problem with storage at and around Wertz Hall with Christmas decorations, etc. A discussion was held on selling some of the old brown chairs at the Auction. Some would be kept for usage by residents. We do have new red chairs not used yet. We also have risers and a quilt machine.

Director’s Reports:

Pat Mulvaney:

Replace broken tiles at both swimming pools.  Someone asked her why privacy screens aren’t surrounding the whole pool for both pools.  Awnings on the rental house look bad and need to be taken down. Also, on the golf course when carts are coming from the garbage dumpster area, they need to slow down and look before driving out in front of people teeing off on Hole 13.

Greg Weekley: Maintenance did trim trees along streets and took care of the area by the fence. The other night people were partying and making a lot of noise at the north side swimming pool after 11:00 pm and had glass bottles there. We need to announce at the Homeowners meeting that this is unacceptable and no glass allowed in the pool area.

Pat Fladeland:  What is the speed limit in the RV section? Some people are driving fast through there. Remind people to slow down.

Joyce Venker: nothing

Howard Harmon: nothing

Bob Stamm: Last month we talked about having items donated for the rental house instead of to the auction. He thinks we should have someone assigned to bid on those items for the rental house at the auction.

Darrill Burgett: nothing

Nancy Radke:  Also wanted to mention broken tiles at the swimming pools.

Mike Manning:He had some tests done to see where the water leaks were, roof or stucco. The leaks are in the stucco. There are a couple ways to fix this. Estimate to repair with stucco –$18,000.  Vinyl siding estimate is $19,500.

Also the water cooler by the ice machine has a leak. Someone came to look at it and said to replace the whole thing for about $400.
