Adobe Wells Annual Homeowners’ Meeting

Monday, January 20, 2020

The meeting was called to order by President Arnie DeJoode at 10:00 A.M.

A quorum was present.

Pledge of Allegiance.

Moment of silence for the sick and departed.

Historical Minute:

The lower part of the tower on the front nine originally housed the filtering system for the pond water. The water was run through charcoal, sand and gravel to produce filtered water for the strawberries. The base was too strong to tear down easily so it was kept and a lookout tower added. The roof and railings on the tower were built in 1975 for Christmas decorations.

Secretary’s Report:

A synopsis of the minutes from the December 16, 2019, Homeowners’ meeting was read. The minutes were accepted as read.

Treasurer’s Report:Treasurer Bob Stamm reviewed the report.

The reports were approved and put to file for future audit.

 Old Business:

  1. Audit Committee Report:

The audit committee consisting of Lloyd Bratland, chair, Hart Amlee, and Bill Venker finished the audit on January 7, 2020, and submitted it to the Board of Directors on January 10, 2020. The report is on file and a copy can be requested from the Business Office. Lloyd gave a review of the report.Every fifth transaction for all five checking accounts was audited and everything was found to be in compliance. They also went over to IBC Bank and reconciled their records to ours to make sure everybody was in agreement. There were no concerns. Veronica is doing a fantastic  job and Bob Stamm is very professional in his work as treasurer.The second part of the audit is new, covering the Current and Fixed Assets. There is a concern because a majority of the accounts have not been reconciled and have no supporting documentation. It is recommended that an Asset Management Program be developed and implemented.

The Business Office will be closed on Tuesday, January 28, to begin work on reconciling QuickBooks asset accounts.

New Business:

  1. Harvey-Azalea Park:

After much discussion concerning development of the park at the January Board of Directors’ meeting, a committee of Greg Weekley, Pat Mulvaney, Ray Parrott, and other recruits they want to add, was formed to come up with a complete concept for the next board meeting.

  1. Policy For Displaying Items For Sale:

At the January Board of Directors’ meeting a policy was passed to NOT allow any vehicles or items for sale to be displayed on Adobe Wells common areas.

  1. 2020 General Fund Budget and Activity Fund Pre-Approvals:

Bob Stamm reviewed the proposed 2020 budget, etc.

The dues increase is proposed in order to show what dues would be needed to bring the 2020 Net Income closer to zero, -$1,400, compared to a -$43,300 value with no dues increase. A dues increase would help maintain the unencumbered funds at a more steady level.

The possible dues increase includes a $10/month increase for all paying units; with an additional $5/month increase for a 1 ½ lot paying unit ($15/month total); and an additional $10/month increase for two and three lot paying units ($20/month total).

Announcements:

  • Nadine DeBoer and Lucy Tullbane have decided to retire from the Co-Chair positions of the Information Center effective February 01, 2020. Many thanks for their many years of service to the Information Center. Nadine and Lucy found their successors in Judy Johnson and Roseann Venker who will be the new Co-Chairs. Also thanks to the many volunteers that help run the Information Office.
  • Register visitors at the business office for a visitor car pass. Golf fees are $2.00 per day per visitor.
  • Homeowners need to inform the business office of property renters.
  • No coolers can be inside or in front of the East handicap bathroom. Coolers will be in the outside East storage area/cabinets, or inside next to the South windows. Items in Wertz Hall storage areas will soon be surveyed and evaluated.
  • Gigi needs help to fold the Divot at 9:30 a.m. on Tuesday, January 21, 2020.
  • Women’s putting contest will be on Wednesday, January 22, 2020, at 1:00 on the front. Rain date is Saturday, January 25,2020.
  • Hex and Sandy are sponsoring a Winter Texan Appreciation on Saturday, February 15, 2020. (Drinks, Food, & Entertainment) All you have to bring is cans of food for the food pantry.
  • Joyce Venker explained the Red Envelope program for all of the new people. Also 9 people completed the AED/CPR program last Saturday. The next AED/CPR class will be on February 1st. Signup sheets are on the bulletin board.
  • Donna Woodward said that David will be here on January 28, 2020, at 1:00 p.m. to explain the blood draw results.
  • Dick Groom announced that Frickin Free Friday will be this Friday, January 24, 2020, at 3:00 p.m.
